<h3>Organization and Departments</h3>Your organization is divided into a so-called Organizational Tree. In that tree you can find all departments including sub-departments that have been assigned to your user. From here, the list of chemicals is displayed.When you select your department in the Organizational Tree, the number of products that are registered in the Chemical List is shown in parentheses. With the right permissions, you can select a specific department as "My Department". The department will then be preselected and displayed when you click on Organisation.<img src="https://cdn-assets.productfruits.com//348162d0-d710-4dce-a909-c96fdf1fec33">&nbsp;&nbsp;

A risk assessment can be made for each work step where a chemical is handled. The assessment of each work step takes place in 4 to 5 steps that generates a result which lays the foundation for possible measures.There are two different ways to create a risk assessment, via the Risk assessment center and via the Chemical List:<ul><li>Via the Risk assessment center – here you get an overall view of risk assessments for the relevant department. You see started and completed risk assessments as well as non-risk assessed products. When you want to start a risk assessment, you can either click Create New Risk Assessment or click Add next to the product to be risk assessed. &nbsp;</li><li>Via the Chemical list - products that appear in the chemical list that have the status "No" in the Risk assessed column, can be clicked on to then be linked to the Risk assessment function.</li></ul>Risk assessment center:<img src="https://cdn-assets.productfruits.com//4a3868f6-4f21-47b8-8798-097b28d5f829">&nbsp;Chemical list:<img src="https://cdn-assets.productfruits.com//83adfd57-d9c7-4988-9041-787eb67e1e61">&nbsp;&nbsp;

<h3>What is Application and Review ?</h3>A good application and review process provides even better control over chemical purchases! For organizations that use the review function, products need to go through a review process before a new product can be used.The advantages of this are, among other things:<ul style="list-style-type:disc;"><li>Users can easily apply for a new product to be allowed to use in the organization</li><li>Receive feedback through the review process</li><li>Limit the purchases of chemicals with forbidden properties</li><li>One can easily see if the product has been approved for use&nbsp;</li></ul>If you do not see the Chemical Application and Case, it could either be that the organization has chosen not to activate these functions, or your user has limited user permissions.&nbsp;

The standard revision of new SDS is performed every three years. If we receive the information, that the current SDS has been updated with newer releases in the meantime, it will be added to Chemsoft.SDS Updating service guarantees, that for every SDS you have added in Chemsoft, no more than 36 months pass from the date of publication, until we make the next control of updates. This can vary depending on contract.&nbsp;Example: If an SDS has the revision date 09-09-2021, is the next check automatically set for the 09-09-2024.If an SDS is older than three years, a new revision is performed annually. In other words, the supplier is contracted to once a year, check whether the SDS has been updated.&nbsp;If the SDS is not updated at the next check, it gets flagged as "OK (Old but valid)" and the next check will be set to in one year.

<h3>About Product list</h3>Product list is a complete list of all products and safety data sheets available in your Chemsoft.By default, the list shows all currently active products, that is products that are currently used in your system and can be linked to departments.<ul><li>Show active - shown by default. The products are active and can be linked to departments.</li><li>View archived – displays products that have been archived and also older versions of MSDS.</li><li>Show linked – shows products that are linked to at least one department.</li><li>Show not linked – shows products that are not linked to any department.</li><li>Show recently added products - shows products that have been delivered to your Chemsoft recently. Number of days back depends on settings for you Chemsoft. Default is 30 days back</li><li>My products - if you have selected a department for "My department", all products from that department will be displayed here.</li></ul>&nbsp;<figure class="image"><img src="https://cdn-assets.productfruits.com//d44a2b17-6a4d-40a0-8189-4462e0a39532"></figure><hr><h3>Archiving products</h3>If a product is no longer used, it can be archived by first going to Product information Then select Edit product and Archive. Remember to remove the product from departments before archiving.If you want to reactivate an archived product, follow the same path via Product Information → Edit Product → Activate.&nbsp;&nbsp;
